Agreement draft for review. The final legal business identity, accepted quotation, cancellation terms, and event details must be completed before the team accepts the booking.

Terms version PUBLIC-2026-11-01-2

1. Parties and event details

This agreement request is between the client named below and the verified legal business entity operating Occasions by Moms. The final booking record must state the legal business identity, client contact details, event date, venue, schedule, and accepted quotation reference. The legal business identity is to be confirmed before final acceptance.

2. Services and agreed price

Only the services, quantities, inclusions, exclusions, and total price in the written quotation accepted by both parties are included. An inquiry or service checklist is a request for quotation, not a commitment to provide every selected service. Supplier arrangements, available items, staffing, setup, delivery, collection, and equipment must be confirmed in the relevant written supplier contract. The client remains responsible for paying every supplier directly under that supplier’s contract. Coordination assistance does not include supplier fees or collection of supplier payments.

3. Payment schedule

The 50% down payment applies exclusively to the event coordination fee stated in the accepted quotation. The remaining 50% of that event coordination fee is due no later than seven calendar days before the event. These percentages do not apply to supplier charges or the total event budget. All suppliers are paid directly by the client according to each supplier’s own contract, payment schedule, and terms. Supplier deposits, balances, and charges are separate from the event coordination fee. Any change to the coordination fee requires written agreement.

4. Booking confirmation

Submitting a questionnaire, signed request, or payment proof does not itself reserve the event date. A booking is confirmed only after the team checks the agreed scope and availability, accepts the completed agreement, verifies the required down payment, and issues written confirmation.

5. Final details and changes

The client and team will agree on deadlines for the final guest count, program, artwork, color motif, venue access, and other requirements. Changes in scope, quantities, date, venue, or schedule require written acceptance and may affect the price or availability. No additional fees or substitutions are accepted automatically.

6. Venue, access, and safe setup

The client will share venue rules, access schedules, restrictions, accessibility needs, and known site conditions. The team will assess setup, power, staffing, and safety requirements for the confirmed services. Responsibilities for permits, venue charges, and third party requirements must be specified in the final quotation.

7. Cancellation, rescheduling, and refunds

Requests must be sent to the team in writing. The final agreement must state approved notice periods, rescheduling conditions, supplier commitments, and any applicable cancellation charges or refund calculation before the booking is accepted. This draft does not make all payments automatically nonrefundable or impose an unspecified fee.

8. Circumstances beyond reasonable control

If an event cannot proceed because of circumstances beyond reasonable control, both parties will discuss practical alternatives, supplier obligations, rescheduling, and any refund treatment under the final agreed terms and applicable law. No automatic waiver or unlimited liability exclusion is created by this draft.

9. Privacy and photographs

Information and uploaded files are used to review and manage the requested event. Inquiry uploads and payment proofs remain private to authorized staff. Publishing client or event photographs requires appropriate permission; optional marketing consent is separate.

10. Signature and review

The client’s typed signature, consent, event details, submitted quotation reference, and a fixed copy of these terms are saved to the private admin portal for verification. This signed request remains subject to team review and completion of the final legal identity and booking details. Clients should keep their submission reference and a printed or saved copy.
